What is a booking source?
A booking source is a reservation marker that holds information about the resource through which the customer was acquired. The system automatically assigns this label as the booking source when a customer makes a booking through a link containing the tag ref=...
. These labels are only visible in the personal account, for information only, and do not affect other booking processes.
The complete list and management are available on the Settings – Data – Booking sources page.
What sources are already in the system?
Let's consider some standard booking sources that are counted by default without any additional actions from your side:
- The website is tagged for all bookings made through the widget on your EasyWeek-based website.
- By phone is set for all bookings created through the Calendar in the personal account. It can be manually changed to another option from the list, for example, In office or any other.
- unknown appears in case of a typo in the
ref=...
key and an attempt to use a source not defined in the settings.
Some booking sources start to be counted after simple actions such as using a link for online booking, for example:
- The widget appears when you use a link to the widget or a link for direct booking with an employee, like
https://widget.easyweek.io/[company]/team/1234/5678/
. - embed_widget will be indicated in bookings made through the online booking module embedded in your own website.
- qr_code is printed in the QR code for booking, which you can generate in the respective section of the integration catalog.
- google_reserve comes with bookings made using the service Reserve with Google.
- The labels app, iOS, and Android are now not tied to any specific mobile app/service, and you can use them at your discretion.
For many sources, individual ref=...
keys are already embedded in links, which you can use for integrations from the Integrations and Apps catalog. The booking automatically displays source data if a particular link corresponding to its type is used.
Every source's link has its unique part:
For example, if you use this link with ref=instagram
label, an appropriate channel name will be filled:
You can also create additional booking sources.
Where to use such links?
Note that a link with a label, for example, ref=tiktok
or ref=iOS
, will work in TikTok or iOS and be placed everywhere. All such links lead to the same online booking widget, the only difference being the Channel property set in the booking it creates.
How to use your own source?
Standard types of sources are not editable, but you can easily create additional diverse customer booking sources. Go to Settings – Data – Booking sources. In the top right corner, click the + Add button:
- Enter the source name and a system label.
- The Online toggle directs all sources to the online/offline sources charts in the Analytics section if enabled/disabled.
- Color customization is available. A booking that comes from this source will have a selected color.
This label used for individual source link, like https://easyweek.io/[company]?ref=[label]
, for example
https://easyweek.io/contitulo?ref=street
Thus, it is convenient to track the arrival of customers from social networks, websites, or affiliate programs.
The maximum number of sources that can be added to the system is 100.
What is the online/offline sources difference?
For additional convenience, all sources are divided into these two groups. This affects the statistics in the Analytics section, where sources are accounted for in the diagrams as online or offline bookings.
There are two standard offline types: In office and By phone. All bookings with these tags will be counted as offline. All other sources with the Online tag will always fall into the Online category, regardless of the booking method.
For example, if a receptionist signs up a client manually via Calendar and specifies any source like Instagram or Widget, the booking will fall into the online category. Only In office, By phone, and offline sources you create separately will fall into the offline category.
Where reports and statistics are located?
Visit the Analytics section for automatically generated charts on the ratio of online/offline bookings. Check the percentage of specific sources in total bookings and view other valuable indicators.
The reports are available for download in spreadsheet format.
Using color coding
Bookings in the calendar can be colored in different colors both manually and automatically based on characteristics.
Go to Settings – Administration – General. Scroll down to the Color automation in the calendar dropdown:
The color of the selected attribute (status, service, category, or source) will color the corresponding booking in the calendar.
