Sudden canceled client appointments can damage your business: lost revenue, hourly paid staff without clients, equipment downtime, etc. However, completely non-refundable bookings can turn some customers away.
EasyWeek allows you to fine-tune cancellation and rescheduling periods for each service!

Customizing the reschedule and cancellation period
All cancellation and rescheduling periods can be set for all services at once or individually selected services.
- Go to the Settings - Administration - Terms and policies page.
- Select the available period in the Cancellation and/or Rescheduling policy fields.
- Feel free to add services requiring specific rules in the Service-specific section.
Reservations made from that point forward will use the specified time frames allowed.
The applicable rules are not retroactive: each booking will be under the terms and conditions in place when it was created.
How to publish the text with the cancellation policy
Your company's cancellation policy and general service rules can be publicized to customers via text boxes in the widget. Open Settings - Administration - Terms and policies, go down to the Public information section.
Once the switch is activated, the text you entered will be displayed in two places:
- In a widget during the customer data entry step:
- On the order page:
Where the customer can cancel/reschedule the booking
Each booking has a booking page that contains all the basic information about the upcoming visit. In this form, two buttons are available to the customer: to reschedule and to cancel:
The corresponding buttons will disappear if the period specified as valid for changes has expired. The text of the Cancellation Policy given here and the time remaining diagram will explain why the actions are no longer available.
How to make non-refundable bookings
A non-refundable booking is a combination of two settings:
- Set the Online payment option to Mandatory (on the Settings - Administration - Widget page).
- Set the Cancellation/Rescheduling option to Never (on the Settings - Administration - Terms and policies page).
This way, a mandatory prepayment for the service appointment will be required, which will be non-refundable. The ability to cancel can be disabled for all the services at once or individually selected ones.
From now on, bookings will become non-refundable and/or unchangeable. The order page will not have corresponding buttons.
